RepairDoc legal
Terms of Service
Last updated 29 October 2026
The short version
- RepairDoc is a tool for businesses. You sign up for your shop and you're responsible for how your team uses it.
- Your data is yours. You can export it any time and we delete it after you leave.
- Your customers' data is yours too. We only process it to run RepairDoc for you, under the Data processing terms.
- You only text customers who said yes, and only about their repairs. No marketing texts through RepairDoc.
- Card payments run through Stripe or Square under their terms. RepairDoc is not a bank or payment processor.
- AI answers can be wrong. Check anything important before you act on it.
1.About these terms
These Terms of Service ("Terms") are an agreement between Company legal name ("RepairDoc", "we", "us") and the business that creates a RepairDoc account ("you", "your shop"). They cover the RepairDoc app, the shop websites and check-in pages we host, the kiosk, the RepairDoc API and the Connect to Claude connector (together, the "Service").
By creating an account, or by using the Service on behalf of a business, you agree to these Terms and confirm you're allowed to accept them for that business. If you don't agree, don't use the Service.
Our Privacy Policy, Data processing terms, Text message terms and Cookie note are part of these Terms.
2.Your account and your team
RepairDoc is for businesses, not personal use. You must be at least 18 and give us accurate details about your business.
You can add staff, managers and other roles and decide what each one can see and do. You're responsible for everything done under your account, including by your staff, and for keeping passwords and PINs private. Tell us at once if you think someone got in who shouldn't have.
Staff clock-in, schedules and timesheets are records to help you run your shop. They are not payroll or legal advice. You're responsible for following wage, break and record-keeping laws where you operate.
3.Plans, trial and payment
New accounts get a free trial (currently 14 days, no card needed). When it ends, pick a paid plan to keep using the Service. Your setup stays.
Plans are priced per location as shown on our pricing page at the time you subscribe. Prices exclude taxes, which you pay where they apply.
If you connect card payments, a per-transaction platform fee may apply on top of your payment provider's own fees. We show it in Settings › Payments before you go live.
Paid plans renew automatically each billing period until you cancel. You can cancel any time and keep access until the end of the period you paid for. We don't refund partial periods unless the law requires it.
We'll give you at least 30 days' notice before a price change affects you. If payment fails and isn't fixed after we've told you, we may pause your account. Pausing turns off your website, kiosks and texts but keeps your data.
4.Your data and your customers' data
You own the data you and your customers put into RepairDoc: your products, prices, sales, repairs, customers, photos, chats and staff records ("Your Data"). You give us permission to store, process and display Your Data only as needed to run and improve the Service for you, to keep it secure, and as the law requires.
For personal information about your customers and staff, you are the controller (the "business" under US state privacy laws) and we are your processor ("service provider"). Our Data processing terms set out how we handle it and are part of these Terms.
You're responsible for having a lawful reason to collect what you collect, for giving your customers any notice the law requires, and for the content you and your staff add. Only collect what you need. For example, record a device passcode only when the repair needs it.
You can export your data to Excel at any time from Settings › Data. After your account closes, we keep Your Data for 30 days so you can come back or export it, then delete it, except copies in backups (deleted on their normal cycle, at most 35 days) and anything the law requires us to keep.
5.Text messages to your customers
RepairDoc can text your customers about their repairs. When it does, the texts come from your shop and you are the sender. You agree to:
- Text only people who said yes. The check-in page, kiosk and RepairDoc screens ask for that consent and record it. At the counter, ask the customer before you turn texts on.
- Use RepairDoc texts only for the customer's own repairs, quotes, chat replies, sign-in codes and (if you turn it on) one review request after pickup. No marketing, promotions or bulk messages.
- Let customers opt out. RepairDoc stops texting a number that replies STOP. Don't turn texts back on for someone who opted out unless they ask.
- Give us accurate business details for carrier registration (for example 10DLC brand and campaign registration in the US) and keep them up to date.
- Follow the Text message terms, carrier rules and the laws that apply to texting, such as the TCPA in the US.
We may delay, filter or stop texts that look like they break these rules or carrier policies, and we may pass carrier fees for your texts on to you if your plan says so.
6.Card payments
If you connect a payment provider (currently Stripe or Square), card payments, card readers, refunds and payouts are handled by that provider under your own agreement with them. RepairDoc sends instructions to the provider and records the result. We never see or store full card numbers.
RepairDoc is not a bank, money transmitter or payment processor and doesn't hold your funds. Disputes, chargebacks, refunds and provider fees are between you, your customer and your provider.
Demo mode (no provider connected) only simulates payments. No money moves.
7.AI features
Some features use artificial intelligence. The owner assistant sends your question and the business data needed to answer it to our AI provider (currently Anthropic) and shows you the answer. It can only read data your role is allowed to see.
AI answers can be incomplete or wrong. Check anything important before you rely on it, and don't use AI output as the only basis for decisions that seriously affect a person, such as hiring, firing or pay.
We don't allow our AI providers to use Your Data to train their models. Lawyer: confirm against the current provider agreement.
8.Connected apps (Connect to Claude)
You can connect RepairDoc to outside AI apps such as Claude, ChatGPT or Cursor through our connector. When you approve a connection, that app can read the business data your role allows and, if you allowed it, take actions you confirm first, such as adding a product or changing a repair's status.
Data you send to a connected app is handled by that app under its own terms and privacy policy, not ours. You can see and revoke connections any time in Settings › Connect to Claude. Every action an app takes is recorded in your activity log.
9.Your website, domain and content
RepairDoc hosts a website, check-in page and repair tracking page for your shop, on a free RepairDoc address or your own domain. You're responsible for what you publish there (your logo, photos, prices, repair terms and policies) and confirm you have the rights to it.
If you use your own domain, you keep control of it and its DNS. We provide the certificate while it points at RepairDoc.
10.Acceptable use
Don't use the Service to:
- break the law, or sell stolen devices or parts;
- send spam, unwanted texts or messages someone didn't agree to;
- upload malware, or try to get into accounts, data or systems that aren't yours;
- overload, probe or scrape the Service, or get around its limits or security;
- copy or resell the Service, or use it to build a competing product;
- store payment card numbers, government ID numbers or health information in free-text fields.
We may suspend access, or remove content, that breaks these rules. Where we reasonably can, we'll tell you first and give you a chance to fix it.
11.Support and how we access your account
Our support team may look at your account to help you, investigate a problem or keep the Service safe. Support sign-in is read-only, uses two-factor login, and every visit is recorded in our audit log.
We'll tell you about planned maintenance that may affect you when we can. Some features are released gradually or marked as early access; they may change or be removed.
12.Our rights
We own the Service, including the software, design and the RepairDoc name. These Terms give you a right to use it while your account is active; they don't transfer ownership. If you send us feedback or ideas, we can use them without owing you anything.
13.Confidentiality
Each of us will keep the other's non-public business information confidential, use it only for this agreement, and share it only with people who need it and are bound to keep it confidential. This doesn't cover information that's public, already known, independently developed, or that the law requires us to disclose (with notice where allowed).
14.Ending the agreement
You can close your account any time by contacting us. We may end these Terms or suspend the Service if you seriously break them and don't fix it within 15 days of our notice, or immediately if needed to stop harm or comply with the law.
When the agreement ends, your right to use the Service stops. See Your data for export and deletion. Sections that by their nature should survive (fees owed, confidentiality, disclaimers, liability, disputes) do.
15.Disclaimers
We work hard to keep RepairDoc fast, accurate and available, but the Service is provided "as is" and "as available". To the extent the law allows, we disclaim all warranties, including merchantability, fitness for a particular purpose and non-infringement, and we don't promise the Service will be uninterrupted or error-free. Reports, insights and AI answers are aids, not professional, tax or legal advice.
16.Limits on liability
To the extent the law allows: neither of us is liable for indirect, incidental, special or consequential damages, or lost profits, revenue or data; and each party's total liability under these Terms is limited to the fees you paid us in the 12 months before the claim.
These limits don't apply to your payment obligations, to either party's indemnity obligations, or to liability that can't be limited by law. Lawyer: review caps and carve-outs.
17.Indemnity
You'll defend and compensate us against third-party claims arising from Your Data, texts sent from your account, your use of payment providers or connected apps, or your breach of these Terms. We'll defend and compensate you against third-party claims that the Service, as we provide it, infringes their intellectual property.
18.Changes to these terms
We may update these Terms as RepairDoc changes. For material changes we'll give you at least 30 days' notice in the app or by email. If you keep using the Service after the change takes effect, the new Terms apply; if you don't agree, you can close your account before then.
19.Law and disputes
These Terms are governed by the laws of State, without regard to conflict-of-law rules. Courts located in State have exclusive jurisdiction, and both of us agree to them. Lawyer: arbitration, class-action waiver and non-US customers.
If any part of these Terms can't be enforced, the rest still applies. Not enforcing a right isn't a waiver. You can't transfer these Terms without our consent; we may transfer them as part of a merger or sale. These Terms are the whole agreement about the Service.
